Privacy Policy

This Privacy Policy explains how the SpaceOS Tenants app and the tenant.spaceos.in portal (together, "SpaceOS Tenants"), operated by Amigo Labs, collect, use, share and protect information about residents and tenants who use them.
Information We Collect
Depending on how you use SpaceOS Tenants, we may collect:
- Account information: your name, phone number and/or email address, and session/login tokens. We use one-time codes (SMS or email) instead of passwords.
- Tenancy information added by your owner or manager: property and unit assignment, move-in date, rent amount, deposit and agreement details.
- Identity/KYC information, if verification is used during onboarding or move-in: ID proof images (for example, an Aadhaar card photo), eKYC details such as photo, date of birth, gender and address, and a masked identifier (e.g. last 4 digits). See "Identity Verification" below for how Aadhaar is specifically handled.
- Payment and rent records: dues, transaction history, payment mode, status, receipts and UPI payment references.
- Visitor/gate data: details of visitors who ask to enter through your property's gate (name, purpose, and photo if captured by the guard), plus your approve/reject decisions and timestamps.
- Complaints and maintenance requests you raise, including any photos you attach, and their status.
- Notice-to-vacate requests you submit and their status.
- Push notification data: your device's push token, used to deliver alerts.
- Device, app and usage data: IP address, diagnostics, crash logs and security/session events.
How We Use Information
- Operate the app's core features: your dues and payment history, unit/agreement info, visitor approvals, complaints and notices.
- Send one-time login codes and notifications for gate visitors, rent due dates, payment confirmations, complaint updates and notice status.
- Recognise you as the same person across properties, or if you change your phone number, so your rental history follows you (see "Identity Linking" below).
- Prevent fraud and misuse, debug errors, and keep the app secure and reliable.
- Comply with applicable law, tax, audit and dispute requirements.
Who We Share Information With
- Your property owner/manager — they manage your tenancy and can view your profile, unit, agreement, payment, visitor and complaint records through their own SpaceOS account.
- Service providers who help us run the app: cloud hosting and database providers, our sign-in provider (for phone OTP), our push-notification provider, WhatsApp/SMS/email providers, payment gateways (if online rent payment is enabled), and identity-verification vendors (if eKYC is used).
- We do not sell your information, and we do not use it for third-party advertising.
- We may disclose information if required by law, to protect rights and safety, to investigate misuse, or as part of a business transfer such as a merger or acquisition.
Identity Verification and Aadhaar
If your owner enables tenant verification, we may process Aadhaar Secure QR, offline XML, DigiLocker or similar identity-document information with your consent, to confirm your identity before move-in. We aim to keep only what is needed: masked identifiers, verification status, document type, name match, address result and consent records.
We do not store your Aadhaar number. During verification it is used only transiently and retained as a one-way, salted hash that lets us recognise the same person across records — the original number cannot be recovered from it. ID-document images you upload and eKYC-derived details (photo, date of birth, gender, address) are encrypted at rest. Where an identifier is shown back to you in the app, it is masked (for example, only the last 4 digits are visible).
Identity Linking Across Properties
To stop the same person being tracked as a "new" tenant just because they used a different phone number, we link tenant records that share the same verified Aadhaar identity. This means your on-time payment history and rental record can follow you if you move to a new SpaceOS-managed property, rather than starting over. This linking uses the Aadhaar hash described above — never the Aadhaar number itself.
Tenant Passport (shareable link)
SpaceOS Tenants can generate a "Tenant Passport" — a summary of your tenancy and on-time payment record — as a shareable link. Anyone who has that specific link can view the summary shown on it, without needing to log in, until the link is revoked or expires. Only share this link with people you're comfortable seeing that summary (for example, a prospective landlord).
Payments
If your owner enables online rent payment, transactions are processed by third-party payment providers. We do not store your full card, UPI PIN or bank credentials — only payment status, transaction identifiers and receipt details.
Security and Retention
We use access controls, authentication, encrypted transport (HTTPS/TLS) and encryption at rest for sensitive identity data (ID-document images and eKYC details). No service can guarantee absolute security.
We retain information for as long as your tenancy is active, as needed to preserve your linked rental history, or as required for legal, tax, audit or dispute purposes. Your login account is not automatically deleted when you move out or are removed from a property, since it may be linked to future tenancies — you can request deletion as described below.
Your Choices
- You can view and update many of your details from the Profile tab in the app.
- You can decline optional verification, though your owner may require it before completing move-in.
- You can turn off push notifications from your device settings at any time.
- To request deletion or correction of your data, see our account deletion steps, contact your property owner/manager directly, or email us at info@spaceos.in. Because much of your tenancy data is controlled by the property owner, we may need to coordinate with them to fulfil the request.
Children
SpaceOS Tenants is intended for adult residents entering into or managing a tenancy, and is not directed to children.
Changes
We may update this Privacy Policy from time to time. The updated version will show a new "Last updated" date, and material changes may also be communicated in the app or by email.
Grievance Redressal & the DPDP Act, 2023
Where it applies, we process personal data in line with the Digital Personal Data Protection Act, 2023 ("DPDP Act"). We collect and use personal data only for the purposes described in this policy, and identity-verification data is collected only after consent is recorded with a timestamp.
If you have a grievance about how your personal data is handled, or wish to report a suspected data breach, email info@spaceos.in with the subject line "Grievance" or "Data Breach." We aim to acknowledge grievances within 7 days and resolve them within 30 days.
